Visitors check in. The right host walks out to meet them.

Visitor check-in for corporate lobbies, tech campuses, and HQ reception—two streams at the kiosk: here to see someone, or a delivery.

Helios Aerospace

Campus Reception

  • I’m here to see someone — Meetings, interviews, and invited guests.
  • I have a delivery — Couriers, parcels, and goods-in.
  • Interview — Recruiting days—keep candidates off the courier line.

Aether

Lobby

  • Visitor — Guest or contractor check-in at reception.
  • Interview — Candidate arrivals for a booked interview.
  • Courier — Packages and time-sensitive drop-offs.

Overview

Campus and HQ receptions mix invited guests with couriers. Without a clear check-in, security and reception field the same “who are you here to see?” all morning, hosts don’t know their visitor has arrived, and the lobby becomes a holding pen. Two Services on a lobby kiosk is enough for most sites: I’m here to see someone, and I have a delivery. The office-visitors starting list uses waiting, host notified, and with host. Email or Slack automations ping the host when someone checks in. A reception Counter is optional. Expected visitors can also book a slot and check in from Arrivals.

Common use cases

  • Corporate HQ and campus reception
  • Interview and recruiting days
  • Visitor and contractor check-in
  • Courier and goods-in desks
  • Co-working and multi-tenant lobbies
  • Security-controlled campus gates

How business teams use Esperaly

Pain points

  • Reception interrupted by mixed arrivals—interviews, deliveries, and drop-ins in one line
  • Hosts don’t know their visitor is in the building until someone calls or walks them up
  • Couriers wait in the same queue as candidates and meeting guests
  • Security and front-of-house lose track of who is expected versus walk-up
  • Peak interview days turn the lobby into a crowded waiting room

Benefits

  • Split the lobby into the right queues

Interview, meeting, and delivery can be separate services—or start with two kiosk buttons: here to see someone, and deliveries.

  • Tell the host the moment someone arrives

Automations email the host or post to Slack when a visitor checks in or is called—so the right person comes down without a phone tag.

  • Give guests a place in line, not a sofa and a guess

Candidates and meeting guests see their place and wait on their phone. Reception stops fielding “are they ready for me?”

  • Start with a QR code at the desk

No badge printer or visitor-management appliance required. A tablet kiosk with two streams is enough on day one. Add a Counter only if reception wants Call Next.

Feature highlights

  • QR check-in at reception

Visitors join from their phone—no app, no badge printer, no extra hardware on day one.

  • Service-based arrivals

Separate “here to see someone” from deliveries on the lobby kiosk so a courier doesn’t sit behind a candidate.

  • Host notified, then with host

Office-visitors statuses match the lobby: waiting, host notified, with host. A reception Counter is optional.

  • Email or Slack to the host

Automations fire on created, called, or a status you choose—email a person field or post to a Slack webhook.
